Setting up a Shared Mailbox in Google WorkspacaeUpdated 2 years ago
Most companies have two primary types of mailboxes:
- Individual mailboxes
- One email address for each employee
- example: [email protected]
- Shared mailboxes
- For specific business cases
- Accessed by multiple people simultaneously
- example: [email protected], [email protected], [email protected]
Shared Mailboxes is an area in which Google Workspace is lacking solid functionality compared with Microsoft Exchange (or 365), but there are two paths you can take to approximate a shared inbox to be accessed by a team.
Option 1 - Google Groups (with or without Collaborative Inbox enabled)
Pros
- Inbound emails delivered to a central address and [optionally] stored within the group history (you can turn off
Cons
- There is no ability to create an email from scratch within Google Groups ... only to respond to an existing email thread
- The Google Groups interface is missing a lot of other key features that make GMail such an awesome email client.
Option 2 - Delegated Mailbox
In this scenario,
Pros
- Each mailbox
Cons
- It is currently impossible to access a Delegated mailbox using the GMail mobile app. Yoyu may have some luck with using the desktop interface on an iPad, but it's not going to be easy. Contrast this with Microsoft 365 which enables access to Shared Mailboxes directly from the Mobile Outlook app.
